As part of the enrolment process, the Department of Education delivering the Global Tropics Future Young Scholars project collects and seeks consent to use, record or disclose copyright material, image, recording, name or personal information.

Limited personal information is collected from students and their base school. This includes full name, gender, and age, date of birth, year level, Education Queensland email address and school.

Global Tropics Future Young Scholars collects limited personal information and seeks consent for the Global Tropics Future Young Scholars registration process using the approved Department Education project consent forms.

This information is held in the Global Tropics Future Young Scholars enrolment system based at Thuringowa State High School. The use and handling of any personal information at Thuringowa State High School is governed by the Copyright Act 1968 (Cth), Education (General Provisions) Act 2006 and the Information Privacy Act 2009.

Department of Education (through Global Tropics Future Young Scholars and Thuringowa State High School) will only disclose the individual's personal information in accordance with your consent, except where authorised or required by law. If you wish to access or correct any of the personal information on this form or discuss how it has been dealt with, or if you have a concern or complaint about the way the Individual’s personal information has been collected, used, stored or disclosed, please contact the coordinator of Global Tropics Future Young Scholars.

What is personal information?

Personal information includes information or opinions, whether true or not, about an individual whose identity is apparent or can reasonably be ascertained from the information or opinion. This includes the Individual's name, image or video or sound recording. It also includes the Individual's educational information such as the Individual's assessment and results, and health information and court orders provided to the department, where such information may enable the Individual to be identified.

What is copyright material?

An individual's copyright material may include written work (e.g. stories and poems), paintings, pictures, drawings, designs, photographs, videos, films, music, performance, recordings, computer programs, websites, sculptures, fashion, metal- or wood-works made by them or to which they contributed. In the case of students, it includes, but is not limited to, work that they create in the course of their studies during the time they are enrolled at a state school. These materials may form part of their academic assessment or be part of their studies generally and may attract copyright.

The department understands that students and volunteers generally own the intellectual property rights in the material they create and that the consent form is not meant to transfer the Individual's ownership of the intellectual property in their copyright material.

Third party (non-departmental) providers

In order to for the Global Tropics Future Young Scholars program to deliver an engaging an innovative learning to our young scholars we need to make decisions about the best technology to meet the needs of our students. Sometimes it is beneficial for students to utilise services provided by third party application or website.

Registering with third party providers requires student personal information to be disclosed to the provider of the service. The purpose of use and information that will be used and disclosed by authorised school employees to the third parties is outlined in the table below and detailed within the approved Department of Education project consent forms for each program.

 * Outside of Australia means that data that is entered to register for these sites will be stored on servers that are not based in Australia and therefore are not bound by Queensland's privacy laws.

Before you complete the consent form it is important that you understand the reasons that these websites collect this information, what will be done with it who else may have access to it and where the data is stored.

Program specific third party websites

The use of web based educational resources has risen steadily over the last decade and are increasingly being used by teachers across Queensland to improve student learning outcomes.

A specific Global Tropics Future Young Scholars program may see benefit in utilising the third party web based service provider/s to aid students learning. For your student to use the service the program coordinator will need to register them as a user. Registering with these providers requires student personal information to be disclosed to the provider of the service. Service providers are private companies that maybe hosted onshore in Australia and/or outside of Australia. Outside of Australia means that data that is entered to register for these sites will be stored on servers that are not based in Australia and therefore are not bound by Queensland's privacy laws.

If a specific website provider is required for a program permission will be sought by a separate permission form to that of the project consent. This consent form will provide specific details about the provider and personal information to be disclosed.
